The essential functions include: 

  • Provide clerical support for Advancement Services, special events and support groups
  • Responsible for coordination of events as assigned by the Special Events Coordinator and Chief Advancement Officer
  • Responsible for all aspects of special event auction procurement including mailings, database management, and acknowledgements
  • Arrange meeting packets, refreshments, room reservations and set-up/clean-up for meetings
  • Maintain department special events calendars and production schedule
  • Serve as department historian for staff meetings
  • Maintain communications collateral inventory list and anticipate printing needs quarterly
  • Provide support for printing, photocopying, and trimming of agency collateral
  • Assist in the creation and editing of PowerPoint presentations
  • Generate correspondence as needed
  • Serve as primary Raiser’s Edge back-up
  • Serve as primary back up for the posting of income
  • Serve as a back-up to Receptionist/Admin Assist for Support Services as needed
  • Run office errands as needed
  • Other duties as required

  • Ability to use computer keyboard up to 75% of the day
  • Visual acuity, ability to adjust focus and peripheral vision for work on a laptop or other computer equipment
  • Lift and/or move up to 25 pounds


Equipment and Computer Software Skills and Abilities:

  • Computer literate (advanced working knowledge of Microsoft WORD, Excel, and Outlook)
  • Able to use telephone, office copier, calculator, fax machine, computer printer and scanner, or other equipment as requiredADDITIONAL DUTIES & RESPONSIBILITIES:
  • Able to work evenings and weekends



  • Regularly work indoors in a variety of environments
  • Potential exposure to blood borne pathogens



  • Minimum 2 years’ experience working in an administrative, marketing, development, or other related role
  • Outstanding written and oral communications abilities
  • Project management experience
  • Experience working closely and collaboratively with volunteers
  • General understanding of key areas of fundraising and agency operations
  • Valid California drivers license, driving record and personal vehicle insurance acceptable to Hillsides’ insurance carrier
