  • Daily, open the building and turn on the copy machine, set-up for groups.

  • Daily, answer calls, retrieve messages from the answering machine and put out a new contact

    log sheet.

  • Type internal memos and any correspondence to outside entities.

  • Type testing list and provide clients with verification of their testing.

  • Type monthly case review schedule, Thursday type face sheet for case reviews.

  • Distribute and collect time sheets.

  • Keep daily log of staff absences and tardiness.

  • On Friday, type testing log, collect weekly schedules and client letters.

  • Daily file forms and testing verification in client’s charts.

  • Complete supply order and other misc. orders, control stock of supplies.

  • Type invoices when timesheets are due and stipends at the end of the month.

  • Daily collect token log, keep track of token distribution and submit to BFS.

  • Fax letters and make copies.

  • Keep track of group notes and ensure that all notes are complete by the end of the week.

  • Enter billings at the end of the month and prepare required documentation.

  • Enter LAPRS forms by the 15th of the month.

  • Fax DATAR form by the 10th of the month.

  • Distribute surveys to facilitators as necessary.

  • Maintain control (copies, revisions) of forms in file cabinet.

  • Responsible for day to day coordination of activities

  • Performs other duties as assigned by supervisor

Job Requirements

Education/ Experience / Skills

  • High School Diploma required,  Bachelor’s Degree Preferred with 2 years office experience;
  • Computer literate required;
  • Ability to type 40wpm required;
  • Experience in Data entry and Billing Medical Preferred;
  • Bilingual (English /Spanish)/Bicultural preferred;
  • Good oral and written communication skills (English and Spanish) proficiency preferred;
  • Strong problem solving and conflict resolution skills;
  • Great attitude and people skills;
  • Ability to work with diverse communities (ethnic, substance abuse, immigrants); and Team player.
